Refund and Cancellation Policy

This Refund & Cancellation Policy explains the cancellation, rescheduling and refund conditions applicable to services booked through RG Wellness Clinic, including physician consultations, Medical Nutrition Therapy, diet plans and other healthcare services.
By booking a service through the RG Wellness Clinic website, you acknowledge and agree to this policy.
1. Appointment Cancellation
Patients may request cancellation of an appointment through the available booking or communication facility.
Cancellation requests should be made as early as possible and preferably before the scheduled appointment time.
The eligibility for a refund may depend on when the cancellation request is received and whether the service has already been provided.
2. Rescheduling an Appointment
Where scheduling availability permits, patients may request to reschedule an appointment.
Rescheduling is subject to:
- Availability of the doctor or healthcare professional
- The applicable service
- The notice provided before the appointment
- Any applicable booking conditions
A rescheduled appointment is not automatically eligible for an additional refund.
3. Cancellation Before Consultation
If an appointment is cancelled sufficiently in advance and the service has not been provided, the patient may be eligible for a refund according to the applicable cancellation conditions.
Any applicable payment-processing charges or other non-refundable charges may be deducted where permitted.
4. Late Cancellation or Missed Appointment
If a patient cancels very close to the scheduled appointment time or does not attend a confirmed appointment without prior notice, the booking may be treated as a late cancellation or no-show.
In such circumstances, the consultation fee may be non-refundable because the appointment time was reserved for the patient.
Where appropriate, RG Wellness Clinic may consider the circumstances of an individual case.
5. Cancellation by RG Wellness Clinic
If RG Wellness Clinic needs to cancel or reschedule an appointment due to circumstances such as doctor availability, technical problems or other unforeseen circumstances, the patient may be offered:
- An alternative appointment time; or
- A refund where applicable.
The patient will be contacted using the contact information provided during booking.
6. Diet Plans and Medical Nutrition Therapy
For personalized diet plans and Medical Nutrition Therapy, work may begin after the consultation, payment and receipt of relevant patient information.
Once a personalized diet plan or customized nutrition service has been substantially prepared or delivered, the service may not be eligible for a refund, because it is a customized service prepared specifically for the individual.
If you have a specific refund arrangement for your different diet-plan products, those terms should be stated clearly on the relevant service or booking page.
7. Services Already Delivered
Fees for consultations or services that have already been provided are generally not refundable.
This includes a consultation that has been completed or a personalized service that has already been substantially delivered.
8. Duplicate or Incorrect Payments
If a patient has accidentally made a duplicate payment for the same service, the patient should contact RG Wellness Clinic promptly with the relevant booking and payment information.
After verification, an eligible duplicate payment may be refunded using the applicable payment method.
9. Failed or Reversed Transactions
If a payment is deducted from a patient’s account but the booking is not successfully completed, the patient should contact RG Wellness Clinic with the relevant transaction details.
The transaction will be verified before any refund or payment-status correction is initiated.
Bank or payment-gateway processing times may affect when the amount is credited back to the patient’s account.
10. Refund Processing
Where a refund is approved, it will generally be processed using the original payment method where technically possible.
The time taken for the refund to appear in the patient’s account may depend on the payment gateway, bank or financial institution.
11. How to Request a Cancellation or Refund
For cancellation, rescheduling or refund-related requests, please provide:
- Patient name
- Registered mobile number or email address
- Booking/service name
- Appointment date and time
- Booking/reference number, if available
- Reason for the request, where relevant
- Payment/transaction details, if applicable

12. Non-Refundable Situations
A refund may generally not be available where:
- The consultation or service has already been completed.
- A personalized diet plan has already been substantially prepared or delivered.
- The patient does not attend a scheduled appointment without prior notice.
- The cancellation is made too close to the appointment time, subject to the applicable booking conditions.
- The patient has already received the service for which payment was made.
13. Exceptional Circumstances
RG Wellness Clinic may consider exceptional circumstances on a case-by-case basis.
Examples may include genuine medical emergencies, technical problems affecting the booking process or other circumstances that reasonably prevented the patient from attending.
Consideration of an exception does not create an automatic entitlement to a refund.
14. Changes to Services and Pricing
RG Wellness Clinic may modify service fees, appointment availability, cancellation conditions or other service terms from time to time.
The applicable terms presented at the time of booking will generally govern that booking, subject to applicable law.
